Christ Community Church (“CCC,” “we,” “us,” or “our”) operates Learn at CCC, an online learning platform used for discipleship courses, membership, volunteer training, and related ministry purposes.
This Privacy Policy explains what information we collect, how we use it, who may access it, how long we keep it, and how you may contact us with questions or requests.
1. Information We Collect
We collect information you provide directly, information generated through your use of the site, and limited technical information necessary to operate and protect the site.
Information we may collect includes:
- Name
- Email address
- Phone number (if submitted)
- Mailing address (if submitted)
- Date of birth (if submitted)
- Gender and marital status (if submitted)
- Username and account information
- Password, stored in hashed form by WordPress
- Course enrollment records
- Course progress and completion records
- Lesson, topic, quiz, assignment, reflection, or assessment responses
- Membership Application information:
- Name
- Email address
- Phone number
- Mailing address
- Date of birth
- Gender
- Marital status
- Campus
- Faith story
- Profession of faith
- Confidence of salvation
- Baptism status
- Baptism location
- Age at baptism
- Previous church involvement
- Most recent church attended
- Reason for leaving a previous church
- Whether anything needs to be reconciled with a previous church or its leadership
- Length of attendance at Christ Community
- Reason for pursuing membership
- Agreement with CCC’s mission, beliefs, leadership commitments, and membership commitments.
- Volunteer training records
- Form submissions
- Email notification and communication records
- Login activity and account activity
- IP address, browser type, device information, and similar technical data
- Any other information you choose to submit through the site, forms, courses, or related communications
Learn at CCC does not collect payments or process financial transactions.
Some courses or forms, especially the Membership Application, may ask for personal, spiritual, family, church-background, and membership-related information. This may include contact information, demographic information, profession of faith, baptism information, previous church involvement, reasons for leaving a previous church, possible reconciliation concerns with a previous church or its leadership, reasons for pursuing membership at Christ Community, campus involvement, and agreement with CCC’s mission, beliefs, leadership commitments, and membership commitments. Please do not submit information you do not want CCC to review or retain for ministry and administrative purposes.
2. How We Use Information
We use information collected through Learn at CCC for church, ministry, administrative, security, and support purposes.
We may use your information to:
- Create and manage your Learn at CCC account
- Enroll you in courses, groups, or training
- Track course progress and completion
- Review membership applications and course responses
- Confirm completion of membership, volunteer, or ministry training requirements
- Provide pastoral, discipleship, ministry, or administrative follow-up
- Send course reminders, completion notices, and related emails
- Generate internal reports for ministry and administrative purposes
- Troubleshoot technical issues
- Protect the security and integrity of the site
- Maintain church records
- Comply with legal, regulatory, insurance, safety, security, or organizational obligations
We do not sell personal information.
3. Who May Access Your Information
Your information may be accessed by authorized CCC staff, ministry leaders, Group Leaders, administrators, and service providers who need access for legitimate church, ministry, administrative, technical, reporting, training, or support purposes.
Depending on the course, form, group, or ministry context, this may include:
- CCC central staff
- Campus staff
- Group Leaders
- Next Steps, membership, baptism, Rooted, Care, KidsWorld, student ministry, or volunteer ministry staff
- Learn at CCC site administrators
- Ministry leaders who need access for course assignment, training, follow-up, reporting, or ministry oversight
- Technical vendors and service providers who help operate the site
Group Leaders may have access to user reports, course enrollment information, course progress, and course completion information for users connected to groups they oversee.
Group Leader access is generally intended for course enrollment, course progress, reporting, and completion oversight. Access to detailed Membership Application responses and other sensitive form submissions is limited to authorized CCC staff, administrators, or ministry leaders whose role requires that information.
We limit access based on role and ministry need when reasonably possible.
4. Service Providers and Third-Party Tools
We use third-party platforms and service providers to operate Learn at CCC and related ministry workflows. These may include website hosting, WordPress, LearnDash, Gravity Forms, email delivery tools, Google Workspace, spreadsheets, automation tools, backup tools, security tools, and video or media platforms.
These service providers may process or store information as needed to provide services to CCC. We do not authorize service providers to use personal information for their own unrelated purposes.
Because some site functions depend on third-party tools, personal information submitted through Learn at CCC may also exist outside the WordPress database, including in email inboxes, spreadsheets, exported files, backups, automation logs, or administrative reports.
5. Forms, Spam Protection, and Site Security
Learn at CCC uses forms to collect information for courses, membership, volunteer training, and ministry purposes.
Forms may use built-in Gravity Forms spam protection settings to help prevent fraudulent, abusive, or automated submissions. We do not use analytics tools or advertising tracking pixels on Learn at CCC.
We may collect and review technical information, such as IP address, browser data, login activity, or other system data, when needed to operate the site, prevent spam, protect accounts, troubleshoot issues, or investigate suspected misuse.
6. Course Progress, Forms, and Membership Records
Learn at CCC tracks course activity, including enrollments, lesson progress, quiz or assessment activity, completion dates, and related course records.
Gravity Forms and other form tools may store information submitted through applications, registrations, contact forms, volunteer forms, or ministry forms.
Membership-related information is retained as part of CCC’s church records. This may include Membership Application responses, contact information, demographic information, campus information, profession of faith, confidence of salvation, baptism status and history, previous church involvement, reason for leaving a previous church, possible reconciliation concerns with a previous church or its leadership, length of attendance at Christ Community, reason for pursuing membership, agreement with CCC’s mission, beliefs, leadership commitments, and membership commitments, course completion records, reflection responses, membership status, and related administrative records.
Safety training quiz results and volunteer training records are retained to confirm eligibility, training completion, safety compliance, ministry assignment, or other administrative needs.
7. Email Communications
We may send emails related to your account, courses, training, membership process, volunteer process, ministry participation, reminders, technical support, or other Learn at CCC activity.
Some emails are transactional or administrative and are necessary for the operation of the site or your participation in a course or process. You may not be able to opt out of all administrative messages while maintaining an active account or active ministry process.
8. Cookies and Similar Technologies
Learn at CCC may use cookies and similar technologies to operate the site, keep users logged in, protect the site from spam or abuse, remember user preferences, support course functionality, and improve user experience.
You may adjust browser settings to block or delete cookies. Some site features may not work correctly if cookies are disabled.
9. Minors
Minors may create accounts and use Learn at CCC when they are eligible to participate in CCC courses, volunteer training, membership, or ministry programs.
Certain courses, forms, or processes may be intended for students, volunteers, or membership applicants who are minors. If a minor uses Learn at CCC, the minor’s parent or guardian should understand that CCC may collect and retain information submitted by the minor or generated through the minor’s use of the site for church, ministry, training, safety, membership, administrative, and recordkeeping purposes.
Learn at CCC is not intended for unsupervised use by children under 13. We do not knowingly collect personal information from children under 13 through Learn at CCC without appropriate parent or guardian involvement.
If you believe a child under 13 has submitted personal information through Learn at CCC without appropriate consent, contact us at learn@ccclife.org so we can review and respond.
10. How Long We Keep Information
CCC generally retains Learn at CCC information indefinitely unless we determine that deletion is appropriate or required.
Membership applications, including contact information, demographic information, campus information, profession of faith, confidence of salvation, baptism status and history, previous church involvement, reason for leaving a previous church, possible reconciliation concerns with a previous church or its leadership, length of attendance at Christ Community, reason for pursuing membership, agreement with CCC’s mission, beliefs, leadership commitments, and membership commitments, are retained indefinitely as church membership records. Course completion records, safety training quiz results, and volunteer training records are also retained indefinitely as church, ministry, administrative, safety, and training records.
Other submissions and data collected through Learn at CCC may also be retained indefinitely.
Information may also remain in email records, spreadsheets, exported files, reports, logs, backups, or third-party systems.
We may delete, anonymize, or restrict information when we determine it is no longer needed, when a user request is approved, or when deletion is legally or administratively appropriate.
11. Data Security
We use reasonable administrative, technical, and organizational measures to protect personal information from unauthorized access, disclosure, alteration, or destruction.
No website, database, email system, or online service can be guaranteed to be completely secure. Users are responsible for keeping their login credentials confidential and for notifying us if they believe their account has been compromised.
Access to administrative areas, form entries, reports, exports, and spreadsheets is limited to authorized users with a legitimate ministry or administrative need.
12. Your Choices and Requests
You may contact us to ask questions about your personal information or to request access, correction, deletion, or review of information associated with your Learn at CCC account.
Some information may not be deleted if CCC needs to retain it for church records, membership records, volunteer training records, safety records, legal obligations, security purposes, dispute resolution, or legitimate ministry and administrative purposes.
Because information may exist in multiple systems, including WordPress, LearnDash, Gravity Forms, email, spreadsheets, backups, and third-party tools, a request may require review across more than one system.

We may need to verify your identity before fulfilling a request.
13. Account Deletion
If you request deletion of your Learn at CCC account, we may delete, deactivate, anonymize, or restrict access to account information where appropriate.
Deleting an account may affect your ability to access courses, certificates, records, applications, membership steps, volunteer training records, or other site features.
Some course, membership, volunteer, safety, administrative, legal, or church records may be retained even after account deletion.
14. Data Sharing
We do not sell personal information.
We may share information:
- With authorized CCC staff, leaders, Group Leaders, or administrators
- With ministry teams that need the information for course administration, membership, volunteer training, pastoral follow-up, reporting, or ministry care
- With service providers that operate, host, secure, support, or improve the site
- When needed to comply with law, legal process, safety obligations, insurance requirements, or church administrative needs
- When necessary to protect the rights, safety, security, or integrity of CCC, the site, users, staff, volunteers, or others
15. Links and Embedded Content
Learn at CCC may link to or embed content from third-party websites, including video platforms, document platforms, or other ministry resources.
Third-party websites and services are governed by their own privacy policies and practices. CCC is not responsible for the privacy practices of third-party websites or services that we do not control.
16. Changes to This Policy
We may update this Privacy Policy from time to time. When we make changes, we will update the effective date above.
Continued use of Learn at CCC after changes are posted means the updated policy applies to your use of the site.
